Ask when the decision to move indoors must be made, who makes it, and whether staff will help relocate chairs or decorations.
Check whether tents are allowed and who arranges them, secures them, and supplies flooring or sidewalls. Ask about heating, cooling, shade, and access to indoor restrooms. Discuss muddy paths, standing water, and other seasonal conditions, then confirm which party handles any needed adjustments.
